What the Quotes page is for

The Quotes page is the commercial starting point for most jobs. It gives your team one place to price work, attach documents, control customer approval, and prepare a clean handoff into delivery.

  • Create new quotes from scratch.
  • Create a quote from a saved template.
  • Link the quote to a contract or keep it standalone.
  • Add products, services, labour, discounts, and files.
  • Send the quote out and track the customer response.

Creating and sending a quote

A good quote starts with accurate customer data and a clean pricing structure.

  1. Choose the customer so the system can auto-fill contact and address details.
  2. Complete the quote name, description, site information, and any contract link you need.
  3. Add product and service lines from the catalogue, then set quantities, discounts, and labour charges.
  4. Upload supporting files if the customer needs drawings, specifications, or other reference material.
  5. Review the totals before sending or printing the finished quote.

Managing statuses, approval, and payments

The Quotes page is also where approval history is controlled. Customers receive a secure link so they can review the quote and accept it online.

  • Use the status flow carefully: Draft, Sent, Accepted, Rejected, On Hold, and Expired.
  • Keep the quote in Draft while you are still editing major pricing or scope details.
  • Resend the quote if changes are made after it has already been shared and you need fresh customer approval.
  • Capture customer acceptance details such as a name or purchase order reference when required.
  • Record deposits or take payments directly when the job needs money collected before work begins.
