What the Invoices page is for

The Invoices page is where completed work becomes a billable customer record. It also handles the balance side of the workflow once money starts moving.

  • Review invoices created from completed jobs.
  • Filter by outstanding balance or zero balance.
  • Sync invoice data to accounting software when connected.
  • Record payments, credits, and refunds.
  • Convert an invoice back to a job if corrections are needed.

Sending and syncing invoice records

This page is the bridge between operational completion and financial reporting.

  • Check the invoice totals and customer details after the job has been completed.
  • Send the invoice out to the customer using the document and email actions you need.
  • Sync the invoice to QuickBooks or Xero when your provider connection is active.
  • Review sync feedback so you can spot and resolve provider-side issues quickly.
  • Use the balance filter to focus on invoices that still need payment attention.

Payments, credits, and refunds

The invoice record becomes the main place for customer balance management.

  • Record cash, cheque, or bank transfer payments directly against the invoice.
  • Take card payments and payment links using Stripe if payment tools have been configured in Settings.
  • Apply credits when invoice totals need to be reduced or adjusted.
  • Issue full or partial refunds when money must be returned to the customer.
  • Sync payments, credits, and refunds to accounting software so balances stay aligned across systems.

Reverting and cleanup actions

Sometimes a billing record needs to be corrected rather than left in place.

  • Convert the invoice back to a job when scope, stock, or pricing needs to be changed before rebilling.
  • Remove the accounting software link if the synced provider record should no longer be tied to this invoice.
  • Make the correction in the job workflow, then move it back through invoicing once the record is accurate.

No. You can still manage invoice records and balances without an accounting connection. The provider tools only matter when you want to sync data externally.

Yes. The system supports recorded payments such as cash, cheque, and bank transfer, as well as Stripe card collection and payment links.

Yes. Credits can be added from the invoice workflow so totals and outstanding balances can be corrected cleanly.

Convert it back to a job, make the correction there, and then return it to invoice status when the record is ready to bill again.
